vendor TERMS & CONDITIONS

By participating as a vendor at the Cars and Coffee Meet hosted by Itule Foundation, you agree to the following terms and conditions:
1. Registration and Participation Fee
Vendor registration is free of charge.
Vendors are required to contribute 10% of their gross sales from the event to the Itule Foundation.
All contributions will support the event’s logistics and fundraising goals, as well as further our mission.
2. Vendor Responsibilities
Vendors are responsible for:
Providing Their Own Resources: Vendors must bring all necessary equipment, including but not limited to power sources (e.g., generators), water supply, trash receptacles, tables, chairs, and promotional materials.
Clean-Up: Vendors are responsible for cleaning their space during and after the event. All trash must be removed from the premises or properly disposed of in designated areas.
Setup and Teardown: Vendors must adhere to the setup and teardown times communicated by the Itule Foundation. Failure to comply may result in exclusion from future events.
3. Required Permits
Mobile Food Permit: Vendors selling food must provide proof of a valid mobile food permit.
Food Safety Permit: Vendors selling food must also provide proof of a valid food safety permit.
Proof of these permits must be submitted prior to the event or upon request by the Organizer.
4. Payment Terms
The 10% of gross sales contribution is due by the end of the event.
Payments must be made in cash or via a pre-approved electronic method.
5. Sales Verification
In order to ensure honesty and compliance with the 10% sales contribution, the Itule Foundation may ask the Vendor to provide a printout or proof of sales for the specific hours of the event.
This documentation will help verify the gross sales made during the event, and the oirganizer reserves the right to review these records before final payment is made.
Failure to provide requested sales documentation will result in the Vendor being blacklisted from all future "Itule Foundation" events, including Cars and Coffee.
6. Indemnification and Liability
Vendors agree to indemnify and hold harmless the Itule Foundation, any venue the event is hosted at, and their employees, agents, and volunteers from any and all claims, damages, or losses arising from participation in the Event.
Itule Foundation is not responsible for loss, theft, or damage to any Vendor property.
7. Compliance
Vendors must comply with all local laws, health codes, and fire safety regulations.
Vendors may not sell any prohibited or illegal items. The Itule Foundation reserves the right to remove any vendor who violates these terms.
8. Marketing and Promotions
The Itule Foundation retains the right to use the vendor’s name, logo, and promotional materials in marketing efforts for the Event.
Vendors are encouraged to promote the event on their own social media and other platforms.
9. Event Modifications or Cancellation
The Itule Foundation reserves the right to modify or cancel the event due to unforeseen circumstances, including but not limited to natural disasters or government restrictions.
In the event of cancellation, vendors will be notified promptly.
10. Agreement to Terms
By signing up for the Event, you confirm that you have read, understand, and agree to the terms and conditions outlined above.
